How to Split One Scanned PDF into Separate Documents

· 5 min read

An office scanner or a scanning app often gives you one long PDF with everything in it: marksheets, ID card, certificates and letters. Then the application portal asks for each document in its own upload box. This guide shows how to work out which pages belong together and split the scan into separate files in one go.

The quick way: one file per document

  1. Open Split PDF and add the scan. You see its page count and small previews of the pages.
  2. Look through the previews and note where each document starts and ends.
  3. Under Split method, choose Custom ranges and type the ranges, separated by commas, for example 1-2, 3, 4-5, 6-.
  4. Read the summary, which says how many PDFs will be created, and press Split PDF.
  5. Download all the files together in a ZIP, or one at a time, and rename each one.

The PDF is split by your browser and is not uploaded, so it is safe to use for ID proofs and certificates.

Map the pages before you split

A minute with a pen saves a second attempt. Scroll through the previews and write down each document with its pages. Here is a typical 9-page scan:

Pages Document
1–2 Class 12 marksheet, front and back
3 Birth certificate
4–5 ID card, front and back
6–9 Experience letter

The ranges for this scan are 1-2, 3, 4-5, 6-. A range that ends with a dash runs to the last page, so 6- means pages 6 to 9. Each range becomes its own file, in the order you typed them. If the scan is called scan.pdf, you get four files:

  • scan-pages-1-2.pdf
  • scan-page-3.pdf
  • scan-pages-4-5.pdf
  • scan-pages-6-9.pdf

Only the pages in your ranges are saved. A page you leave out of every range is simply not in any of the new files.

Rename the files for the portal

The new files are named after the original and the page numbers they contain, which is handy for checking but means nothing to the person reading your application. After you unzip them, rename each one after its document, such as class12-marksheet.pdf or birth-certificate.pdf. Some portals have rules about file names, such as no spaces, so check the instructions on the upload page.

Which split method fits your scan

The tool offers four methods. Pick the one that matches how your documents are laid out:

  • Custom ranges is for documents of different lengths, like the example above. Ranges may overlap if the same page has to go into two files, for example 1-5, 5-10.
  • Every few pages is for a stack of documents of the same length. Ten two-sided forms scanned together give 20 pages; choose 2 pages per file and you get ten files. The last file holds whatever is left over, so if it has only one page, a page was probably missed or scanned twice.
  • One PDF per page is for single-page documents, such as a pile of one-page certificates. Every page becomes its own file.
  • Extract pages is for when you need just one document from the bundle. Type 4-5, or click those previews, and you get one PDF with only those pages.

The tool splits by page numbers only. It does not read the pages, so it cannot find headings or blank pages for you. That is why the page map matters.

Blank pages and sideways pages

Scanning single-sided papers on a double-sided setting gives you a blank back after every page. With Custom ranges, each range becomes a separate file, so you cannot put pages 1 and 3 into one file while skipping the blank page 2. The cleaner way is to take out the blank pages first with Delete PDF Pages, then split the shorter file using a new page map.

A page that was scanned sideways stays sideways, because the split copies every page exactly as it is. Turn it the right way with Rotate PDF Pages, either before you split or on the one file that needs it.

What happens to quality and file size

The pages are copied into the new files as they are. Nothing is converted to images, so text stays sharp, and page size and rotation do not change.

Each new file is a complete PDF with its own copy of the fonts and images its pages use. The files together can therefore be larger than the original. If one of them is still over the portal's size limit, compress just that file with Compress PDF. Check the official notice for the limit, as it differs from form to form.

Sharing only the pages someone needs

Splitting is also the safe way to send part of a long document. Say a landlord or an office asks for one page of a 12-page bank statement. Choose Extract pages, select that page and send the new file.

The extracted file does not secretly carry the rest of the document. No hidden copy of a left-out page is stored, and links to pages that were left out are removed. The page you send still shows everything printed on it, though. Splitting cannot hide an account number or an address on the page itself.

A statement that needs a password to open has to be unlocked first, by saving a copy without the password using the password you already have.

Frequently asked questions

Can I split a 300-page PDF?

Yes, up to 100 MB. Previews are shown for the first 200 pages, and you can still choose later pages by typing their numbers.

Why does the tool say my ranges have an error?

The message names the problem: a missing comma between two ranges, a page number higher than the page count, or a range written backwards, such as 5-3. Separate every page or range with a comma, as in 1-3, 4-10, 11-.

Wrapping up

Map the pages first, choose Custom ranges for documents of different lengths, and rename the files after splitting with Split PDF. Remove blank pages and fix sideways ones before you start, and compress only the files that are still too large. More tools for PDFs are in the PDF tools section.
